Set up a club join link (e.g. for a university squad)

Post one stable link that drops athletes straight into your team.

The fastest way to onboard a whole club or university squad is a single team-bound join link. You post one URL; everyone who opens it signs up and lands directly in your team, already on your roster. No per-athlete emails, no manual moves out of Unassigned.

Before you start

You need a team that you coach. If you do not have one yet, open My Teams > New team and create it (e.g. "UCLA Triathlon"). The link's team dropdown only lists teams you coach, so this comes first.

  1. Open Athlete join links (/coach/join-links/).
  2. Click New link.
  3. In Enrol new athletes into team, pick your team.
  4. (Optional) Type a squad label, such as Varsity or 2026 intake, to sub-group everyone who joins through this link.
  5. (Optional) Set a vanity slug so the URL is memorable, e.g. ucla gives you grepiac.com/join/ucla. Lowercase letters, digits, and hyphens; 3 to 40 characters; some reserved words are blocked.
  6. Leave expiry and max-uses blank for an evergreen club link, or set them for a time-boxed or capped intake.
  7. Save, then Copy the URL.

Post it

Put the link wherever your athletes already are: the club website, a pinned message in your team chat, a flyer QR code, or a landing page like yoursite.com/join. Anyone who opens it:

Check it worked

Sign up a test athlete (or watch your first real one) and open your coach dashboard. They should appear in the team, not in Unassigned. If they land in Unassigned, the link you used was not team-bound, create a fresh one with the team selected and re-post it.
